Booking & Cancellation Terms

These Booking & Cancellation Terms apply to outdoor activities organised by Bovec Outdoor, including climbing, canyoning, hiking, trekking and other guided outdoor experiences.
They form part of the agreement between the participant or person making the booking and Bovec Outdoor.
1. Activity Provider
Activities are provided by:

Hereinafter referred to as Bovec Outdoor.
2. Inquiry and Booking
Submitting an inquiry through the website, by email, telephone or another communication channel does not constitute a confirmed booking.
After receiving your inquiry, we may ask for additional information about:
- the number and ages of participants,
- previous experience,
- fitness level,
- preferred programme,
- preferred date,
- other information reasonably necessary to determine whether the activity is suitable.
A booking is confirmed only after Bovec Outdoor has confirmed the activity in writing and any required deposit or payment specified in the confirmation has been received.
The written confirmation may contain additional programme-specific conditions which form part of the booking.
3. Prices
The applicable price is the price confirmed in writing at the time of booking.
Unless otherwise stated, prices include the services specifically listed under What is included on the relevant activity page or in the individual offer.
Additional expenses such as meals, drinks, accommodation, transport, equipment or other services are not included unless expressly stated.
Obvious typographical or technical pricing errors do not create an obligation to provide an activity at the incorrect price.
4. Payment
Payment instructions and the payment deadline are provided with the booking confirmation.
Depending on the activity, Bovec Outdoor may require:
- full payment in advance,
- a deposit followed by payment of the remaining balance, or
- payment according to another arrangement stated in the individual confirmation.
A booking may be cancelled if the required payment is not received by the specified deadline.
Any bank or payment-provider fees charged to the customer are the responsibility of the customer unless otherwise agreed.
5. Cancellation by the Customer – Day Activities
The following standard cancellation conditions apply to single-day activities unless different conditions are stated in the individual booking confirmation:
7 or more days before the activity:
No cancellation fee. Payments received will be refunded, except for any clearly identified non-refundable third-party costs already incurred for the booking.
3 to 6 days before the activity:
50% of the confirmed activity price may be charged.
Less than 72 hours before the activity:
100% of the confirmed activity price may be charged.
No-show or cancellation after the scheduled starting time:
100% of the confirmed activity price is charged.
The time of cancellation is determined by the time at which Bovec Outdoor receives the cancellation in writing.
6. Cancellation by the Customer – Multi-Day Activities
Multi-day programmes require more advance organisation and may involve mountain hut reservations and other third-party costs.
Unless different conditions are stated in the individual booking confirmation, the following standard cancellation conditions apply:
30 or more days before departure:
10% cancellation fee.
15 to 29 days before departure:
30% cancellation fee.
8 to 14 days before departure:
50% cancellation fee.
7 days or less before departure:
100% cancellation fee.
Where Bovec Outdoor has already paid non-refundable accommodation, reservation or other third-party costs specifically for the booking, these costs may also be taken into account to the extent permitted by applicable law.
Where mandatory package travel legislation applies, the statutory rules governing reasonable cancellation fees and refunds take precedence over these standard conditions.
7. Illness or Personal Circumstances
Illness, injury, travel delays, changes to travel plans or other personal circumstances affecting a participant are normally treated as a cancellation by the customer.
We therefore strongly recommend appropriate travel and cancellation insurance covering outdoor activities.
Where possible, Bovec Outdoor may allow another suitable participant to take your place if you notify us in advance and the replacement participant meets the requirements of the activity.
Any change is subject to approval by Bovec Outdoor.
8. Cancellation or Changes by Bovec Outdoor
Outdoor activities depend on natural conditions and cannot always be carried out exactly as originally planned.
Bovec Outdoor may change:
- the route,
- canyon,
- climbing area,
- starting point,
- starting time,
- duration,
- itinerary,
- mountain hut,
- or other elements of the programme
when reasonably necessary due to weather, water levels, trail conditions, rock conditions, snow, safety considerations or other circumstances affecting the activity.
Where possible, we will offer a suitable alternative of comparable character and value.
9. Cancellation Due to Weather or Safety Conditions
Safety takes priority over completing a particular route or programme.
If Bovec Outdoor determines before the activity that conditions are unsafe and no reasonable alternative can be offered, the activity may be cancelled.
In this case, customers will normally be offered:
- another suitable activity or route;
- another available date; or
- a refund of the amount paid to Bovec Outdoor for the cancelled activity.
The choice will depend on availability, circumstances and applicable legal requirements.
Bovec Outdoor is not responsible for independently booked travel, accommodation, flights, rental vehicles or other expenses resulting from cancellation or changes to an activity.
For this reason, appropriate travel insurance is recommended.
10. Weather Is Not Automatically a Reason for Cancellation
Mountain weather can change quickly.
Clouds, light rain, lower temperatures or a less favourable weather forecast do not automatically mean that an activity will be cancelled.
The decision whether an activity can be carried out safely is made by the guide based on the actual conditions, professional assessment and the nature of the activity.
If a participant decides not to take part while Bovec Outdoor considers the activity safe and able to proceed, this is treated as a customer cancellation.
11. Participant Requirements
Participants are responsible for ensuring that the information provided during the booking process is accurate.
Depending on the programme, participants may need to meet requirements relating to:
- minimum age,
- swimming ability,
- physical fitness,
- hiking or climbing experience,
- comfort with heights or exposed terrain,
- previous canyoning or rope experience.
Programme-specific requirements are stated on the relevant activity page or communicated before confirmation.
If you are unsure whether an activity is suitable, please tell us before booking.
12. Health and Medical Conditions
Outdoor activities can be physically demanding.
Participants must inform Bovec Outdoor before the activity of any condition, injury, medication, allergy or other circumstance that may materially affect their ability to participate safely.
This information should be limited to what is relevant for the safe organisation of the activity.
If there is uncertainty about fitness to participate, the participant should seek appropriate medical advice before the activity.
Bovec Outdoor may refuse or discontinue participation where the guide reasonably believes that continuing would create an unacceptable safety risk.
13. Instructions of the Guide
Participants must follow the safety instructions provided by the guide.
The guide has the right to:
- adapt the programme,
- change the route,
- exclude a particular section,
- shorten the activity,
- or stop a participant from continuing
where reasonably necessary for safety.
A participant may be excluded from the activity if they:
- repeatedly disregard safety instructions,
- behave recklessly,
- are under the influence of alcohol or drugs,
- provide materially incorrect information about their ability or experience,
- or otherwise endanger themselves, the group or the guide.
Where exclusion results from the participant’s own conduct, no refund is normally provided.
14. Late Arrival
Participants should arrive at the agreed meeting point at the time stated in the booking confirmation.
Please contact Bovec Outdoor as soon as possible if you expect to be late.
Where a significant delay would affect the safety or feasibility of the activity, the group may need to depart without the late participant.
A missed activity due to late arrival is treated as a no-show unless otherwise agreed.
15. Equipment
Participants must use technical equipment according to the guide’s instructions.
Where equipment is provided by Bovec Outdoor, participants are expected to take reasonable care of it and return it after the activity.
Participants may be responsible for the cost of equipment deliberately damaged, lost or not returned, except for normal wear and tear or damage arising from ordinary use.
Personal equipment may only be used where appropriate for the activity and accepted by the guide.
16. Children and Minors
Participants under the age of 18 must have the permission of a parent or legal guardian.
Depending on the activity and age of the participant, a parent or guardian may also be required to participate.
Minimum ages published for individual programmes are guidelines based on the normal requirements of the activity. The guide may determine that a particular programme is not suitable for an individual participant even where the minimum age has been reached.
17. Insurance
Participants are responsible for having adequate personal insurance appropriate to their circumstances and the activity.
For mountain and outdoor activities, we recommend insurance that includes, where appropriate:
- medical treatment,
- accident cover,
- mountain rescue,
- repatriation,
- cancellation costs,
- outdoor or adventure activities.
Participants travelling from abroad should ensure that their insurance is valid in Slovenia and, where applicable, Italy or other countries included in the programme.
18. Inherent Risks of Outdoor Activities
Climbing, canyoning, hiking, trekking, via ferrata and other outdoor activities take place in natural environments and involve inherent risks.
These may include, among other things:
- falling rocks,
- slips and falls,
- changing weather,
- water and changing water levels,
- uneven terrain,
- exposure to heights,
- natural obstacles,
- rapidly changing mountain conditions.
Bovec Outdoor seeks to manage these risks through professional planning, appropriate equipment, qualified guidance and adaptation to conditions.
Participation nevertheless requires participants to accept the normal risks inherent in the chosen outdoor activity.
Nothing in these Terms excludes or limits liability where such exclusion or limitation is prohibited by applicable law.
19. Mountain Huts and Third-Party Services
Multi-day tours may include services provided by independent third parties, such as mountain huts or other accommodation providers.
Mountain huts generally provide simple accommodation, often in shared rooms or dormitories. Facilities, menus and comfort levels may vary.
Availability may also change for reasons outside the direct control of Bovec Outdoor.
Where necessary, a comparable alternative may be used.
Any mandatory rights applying to a booking that qualifies as a package travel contract remain unaffected.
20. Minimum Group Size
Some activities are priced on the basis of a minimum number of participants.
Where the minimum number is not reached, Bovec Outdoor may:
- offer the activity at an adjusted price,
- offer an alternative date,
- suggest another programme,
- or cancel the activity and refund payments received.
Any applicable minimum group size and price structure will be communicated before the booking is confirmed.
21. Photographs
Guides may take photographs during activities where circumstances allow.
Photos may be provided to participants as part of the activity where stated.
Bovec Outdoor will not rely on participation in an activity alone as permission to use identifiable photographs of participants for advertising or promotional purposes. Where such use requires permission, consent will be obtained separately.
22. Right of Withdrawal for Date-Specific Activities
Activities offered by Bovec Outdoor are generally provided on a specific agreed date or during a specific agreed period.
For standalone leisure activities booked for a specific date or period, the general statutory right to withdraw from certain distance contracts within 14 days may not apply where the applicable consumer legislation provides an exception for date-specific leisure services.
This does not limit any mandatory cancellation or withdrawal rights that apply to package travel or under other applicable legislation.
23. Multi-Day Programmes and Package Travel Rules
Certain multi-day programmes may be subject to mandatory Slovenian and European rules governing package travel.
Where a confirmed booking legally qualifies as a package travel contract, the participant retains all mandatory rights granted by applicable law.
In the event of any conflict between these Booking & Cancellation Terms and mandatory package travel legislation, the mandatory statutory provisions prevail.
24. Complaints
If you are dissatisfied with an activity, please inform the guide as soon as reasonably possible so that the issue can be addressed during the activity where possible.
Written complaints may be sent to:
Please include your name, activity, date and a clear description of the issue.
We will review the complaint and respond within a reasonable period.
25. Personal Data
Personal data collected in connection with inquiries and bookings are processed in accordance with the Bovec Outdoor Privacy Policy.
26. Governing Law
These Terms are governed by the laws of the Republic of Slovenia.
Nothing in these Terms limits mandatory rights granted to consumers or travellers under Slovenian or European Union law.
Any dispute will be resolved by the competent court determined in accordance with applicable law.
